Facilities

COVID-19 Update

  • All hirers will be required to sign our COVID-19 Venue Hirer Requirements Form. 

Restrictions are in place regarding number of patrons allowed in Council facilities at any one time to ensure we can maintain social distancing.

When visiting a Council facility you will be required to complete an online or physical form for contact tracing purposes.

We understand there are situations where you may not be able to maintain social distancing. It is recommended that you have a mask available so that if you find yourself in one of those situations, you have additional protection.

We ask that visitors do not attend our facilities if you; have returned from overseas or a COVID-19 hotspot in the last 14 days, have cold or flu like symptoms, have been in contact with a confirmed case of COVID-19 in the last 14 days. Interactions will be done as quickly and efficiently as possible to minimise face to face contact.

If you see people not adhering to restrictions, please contact Council on (07) 4970 0700 or contact 13QGOV (13 74 68).

Hiring a Council room or hall

Council operates community centres and halls across the region with some rooms and halls available for public hire.

Community Centres are located at Agnes Water, Boyne Island, Calliope and Miriam Vale with Council operated halls at Calliope, Mount Larcom and Yarwun.

Venues differ in the range of facilities and equipment on offer.

Fees and charges apply to the venue hired, length of hire, facilities and equipment used and the nature of the event.   

Recurring venue bookings are welcome, subject to certain conditions of hire being met.

Various halls in our region are operated by community groups and organisations, and as these are not managed by Council, hirers must contact the hall committees directly.

Book a Council room or venue

Step 1 – Select a room or venue from our list of venues and read the relevant venue Conditions of Hire.

Step 2 - Complete a Venue Hire Agreement Form and the COVID-19 Venue Hirer Requirements Form. 

Step 3 – Read the terms and conditions and attach all supporting documentation to your application.

All venue hire rates can be viewed here.    

Submit your completed application form (except for rooms at Boyne Tannum Community Centre) via:

Post        PO Box 29, Gladstone Qld 4680
or in person at any of Council's customer contact centres.

Submitting an application form does not equate to an approval for a room or venue booking. 

After an application has been assessed, approved and all applicable fees and bonds have been paid, you will receive an approval letter from Council for your room or venue booking.

This approval letter must be able to be shown at any time during your function or event.

Booking changes and cancellations

Changes to bookings or cancellations must be submitted in writing and can be done via email or by using a Venue Hire Amendment Form.

Cancellation of bookings for the hire of premises could incur a fee, dependent on the amount of notice provided.

Amendments to bookings require approval.

Full or partial refund of fees is at the discretion of Council.

Security bond

A security bond is required to be paid by the hirer at the time of booking as a guarantee of meeting Council conditions of hire requirements and as security against any breakages or additional cleaning resulting from hire.

A Request for Refund of Bond Form can be submitted later.

If there are no breach of hire conditions, bond fees will be returned within four weeks of the use of the facility.

Liquor licence

The sale of liquor on the premises requires the hirer to acquire relevant State and Federal Government permits and licences.

It is the responsibility of the hirer to contact the Office of Liquor Gaming & Racing (13 74 68) to inquire about liquor licences.

Licences are not required for private functions where liquor is not being sold, e.g. weddings.

Hirers are responsible for hiring of bar staff and ensuring they are aware of their responsibilities and duties.

Key collection and return

Keys must be collected from a Council customer contact point during administration office hours.

Arrangements for key return may be different depending on the venue and will be stated in the venue’s Conditions of Hire form.

Keys are to be returned on the day of hire, if practicable, or the next working day following a function.

Loss of keys will result in the hirer being invoiced for costs of key replacement.

Liability insurance

When hosting a function or event on Council controlled land, you must have the correct public liability insurance in place.

Public liability insurance covers your function or event for any losses or damages suffered, or claimed to be suffered, by persons attending your function or event, or as a result of your function or event.

Hirers who use the venue more than 12 times within 12 months, must obtain Public Liability Insurance.

One-off or infrequent hirers are required to complete a Casual Hirers Liability Insurance Form
